Scope of the position

Performance of administrative duties related to the supply and trading products and feedstock with close cooperation with the traders and superiors responsible for contract fulfilment on behalf of our company. The use of specialized professional knowledge related to the performance of administrative tasks necessary for dealing with products and feedstock supply and trading deals.

Main Tasks

Acquisition, handling and transmission of documents relevant to the transaction on the ba-sis of instructions received from the traders.
Precise preparation, submission and handling of documents related to contracting process, contract fulfilment; Scheduling confirmation with relevant parties, Check documents relat-ed to contract fulfilment and draw operators’/traders’ attention on issues occurred during operations.
Maintain documentary work process on contract fulfilment, supporting thus trades done;
Liaise with internal stakeholders (Treasury, Customs, Logistics, etc) on all back office issues related to contract fulfilment; Prepare necessary information (forecasts, spreadsheets) to related internal services.
Continuous communication with external parties (e-mail, phone, fax) to follow back office aspects of contractual tasks.
Maintain on daily basis an extensive database on trade and cash flows; Price/pricing/due date cross-check with external/internal parties.
Gather, analyse and daily update on trade and cash flows, aware of payment due dates and amounts.
Check invoices and agree on invoiced amounts with external/internal partners in alignment with traders and originators.
Register trade and cash flows in related management systems (SAP, Navision, DDM, etc).


Economic Secondary School graduation or B.Sc.
Excellent communication, interpersonal, organizational, analytical and numeric
Practice in export/import business administration
SAP, MS Office programs
Strong knowledge and ability with data analysis tools, good communication, accurate and precise work, flexibility, creativity
Expected time is 3 days/week (24 hours)
